Mail Merge in Outlook: How to Send Personalized Emails from Excel

To send personalized emails from an Excel list, write the message in desktop Word and send it through classic Outlook for Windows. Excel supplies each recipient’s address and details; Word inserts those details into a separate message for each person. New Outlook has a different, more limited mail merge option, so check which Outlook app you have before starting.

Mail Merge in Outlook: How to Send Personalized Emails from Excel

To send personalized emails from an Excel list, write the message in desktop Word and send it through classic Outlook for Windows . Excel supplies each recipient’s address and details; Word inserts those details into a separate message for each person. New Outlook has a different, more limited mail merge option, so check which Outlook app you have before starting.

Key takeaways

  • Use desktop Word, an Excel recipient list, and classic Outlook for Windows to send personalized messages.
  • Put one recipient per Excel row and your own address in the first data row for testing.
  • Preview several records, send only the test record, and check the message before the live send.
  • Word’s standard email merge uses one subject per run and cannot add a chosen file attachment to each message.
  • Check the sending account’s limits and its Outbox before retrying a send.
  • New Outlook’s separate basic mail merge is not the personalized Word-and-Excel workflow described here.

Before you start

  • You’ll need: Desktop Excel and Word, classic Outlook for Windows, an email account set up in classic Outlook, and a list of people you’re permitted to email. Microsoft’s Word email merge guide describes the Word-to-Outlook workflow.
  • Time: Allow a working session for a prepared list, plus time to test and for your email service to send the messages.
  • Cost: No separate merge add-on is needed if you already have access to the required desktop apps and email account.
  • Before sending: Remove people who opted out, check addresses, and send a test to yourself.

Mail merge from Excel to Outlook, step by step

Mail merge from Excel to Outlook, step by step

  1. Open classic Outlook and check the sending account.

Launch Outlook (classic) from the Windows Start menu. Confirm that the account you intend to send from is available. If Word cannot find your email program later, set classic Outlook as the default mail app in Windows Settings → Apps → Default apps , then retry. Microsoft provides default-program instructions for Outlook .

  2. Build one row per recipient in Excel.

Put unique column names in the first row, such as Email , FirstName , and Company . Enter one person per row, with a usable address in Email . Put your own address in the first data row for the test send. Leave no blank rows in the list.

  3. Clean, save, and close the workbook.

Check names and addresses, remove duplicate or unwanted rows, and save the file as an Excel workbook. If you’ll merge ZIP codes, format that column as Text so leading zeros remain intact. Close the workbook before connecting it to Word. See Microsoft’s guidance on preparing Excel data for a Word mail merge .

  4. Start an email merge in Word.

Open a blank document in desktop Word. Select Mailings → Start Mail Merge → E-mail Messages . Write the message in Word, not in an Outlook draft.

  5. Connect the Excel file.

Select Mailings → Select Recipients → Use an Existing List , choose your workbook, and select the sheet containing your list if prompted. Confirm that Word recognizes the Email and FirstName columns.

  6. Review who is included.

Open Mailings → Edit Recipient List . Check that your test address is first and that no unwanted rows are selected. If the list looks wrong, stop and correct the workbook before sending.

  7. Write the email body and insert fields.

Type the message in Word. For example, type “Hi ”, select Mailings → Insert Merge Field → FirstName , then add a comma. Insert other fields only where their values belong. If everyone should visit the same page, put its link in the body.

  8. Preview several messages.

Select Mailings → Preview Results and use the record arrows to inspect your test row and other recipients. Check for empty greetings, misplaced punctuation, and information appearing beside the wrong name. Fix the sheet or document before continuing.

  9. Send only the test record.

Select Finish & Merge → Send E-mail Messages . Set To to Email , type a subject line, choose HTML or Plain text , and set Send records to From 1 to 1 . Click OK . Microsoft’s email merge instructions describe the send options and record range.

  10. Check the test, then exclude yourself.

Check the sending account’s Outbox and Sent Items , then open the message you received. Verify the sender, subject, greeting, links, and layout. Back in Word, open Edit Recipient List and clear the checkbox beside your test row so you don’t receive the live message again.

  11. Send the selected recipients.

Choose Finish & Merge → Send E-mail Messages again. Confirm Email in To , re-enter the approved subject, choose HTML or Plain text , and select All . Check the selections once more, then click OK . Standard Word email merge creates separate messages; it does not add CC, BCC, or a chosen file attachment.

  12. Confirm the send instead of repeating it.

Watch the sending account’s Outbox and Sent Items , and review any delivery failures. If messages seem missing, check the Outbox before running the merge again—you could otherwise create duplicates.

Know the limits before a larger send

What does new Outlook support?

New Outlook for Windows has a separate Start mail merge option beside Send that gives recipients individual copies of a composed message. It is not the Word-and-Excel workflow above: don’t assume it can insert personalized Excel fields. Microsoft’s new Outlook deployment guidance recommends keeping classic Outlook available for integrated Word mail merge. Check the controls in your version of new Outlook before relying on its mail merge option.

Can you personalize the subject line?

Word’s standard email merge asks for one subject line per run. Excel merge fields go in the body, not into a different subject for every recipient. If groups need different subjects, select and test each group, then run a separate merge with its own subject.

Can an Outlook mail merge include attachments?

Standard Word email merge cannot attach a chosen file to each message. An Attachment mail format, where offered, sends the merged Word document itself rather than adding your file to a normal email body.

If everyone needs the same file, place a OneDrive link in the message body. Set access deliberately— Specific people is more restrictive than Anyone with the link —and test the link as a recipient. For a different private file per person, use a tool built for per-recipient attachments instead of broadly accessible file links. Microsoft explains the OneDrive sharing options .

Sending limits and delivery

For Exchange Online mailboxes, Microsoft lists 10,000 recipients per rolling 24 hours and 30 messages per minute ; excess submissions can be throttled. Outlook.com has different limits: Microsoft lists 5,000 daily recipients for Microsoft 365 subscribers, with lower or varying limits for some accounts. Because this merge sends individual messages, check the rules for the account that actually sends , not just the Outlook app you opened. See Microsoft’s Exchange Online sending-limit guidance and Outlook.com sending limits .

Send to people who expect your message, remove bounced or opted-out addresses, and increase volume gradually rather than sending a sudden large batch. If you send from your own domain, ask its administrator to check SPF and DKIM; promotional mail also needs an appropriate unsubscribe process. For substantial external campaigns, use a dedicated bulk-email service instead of treating a mailbox’s maximum limit as a target. See Google’s email sender guidelines and Microsoft’s outbound spam guidance .

Troubleshooting

Symptom Likely cause Fix
Send E-mail Messages is unavailable. Word has no usable default mail program. Open classic Outlook, confirm the account works, set classic Outlook as the Windows default mail app, and reopen Word.
Word finishes, but nothing appears in new Outlook. You may be checking the wrong Outlook app. Open classic Outlook and inspect its Outbox and Sent Items before trying again.
The Email field is missing from To . Word connected to the wrong sheet or the column header is missing. Confirm the header in Excel, save and close the file, then reconnect the correct sheet in Word.
A greeting is blank or shows the wrong name. A cell is empty or the wrong merge field was inserted. Inspect the row in Excel; in Word, replace the field and preview that record again.
ZIP codes lose leading zeros. Excel treated them as numbers. Format the source column as Text, correct the values, save, and reconnect the workbook.
Every recipient gets the same subject. Word uses the subject typed for that merge run. Send separate recipient groups with separate subject lines; a subject column will not merge automatically.
The file is missing, or the email body is empty. Standard merge cannot add a chosen attachment; Attachment format changes what is sent. Use HTML or Plain text for the body and include a tested file link, or choose an attachment-capable workflow.
Messages remain in the Outbox or delivery fails. The sending account may be disconnected, throttled, or over its limit. Check the connection and error message, then compare activity with your provider’s limits. Do not rerun the whole merge while messages are pending.

Other ways to use mail merge

  • No Excel file? Start from contacts in classic Outlook instead. Select the contacts in People , choose Home → Mail Merge , and finish the message in Word. Microsoft describes using Outlook contacts for a mail merge .
  • Only need separate copies of the same message? Check new Outlook’s Start mail merge option, but leave spreadsheet-dependent details out of the text.
  • Need different subjects? Test and send separate recipient groups, each with its own subject line.
  • Need a shared handout? Use a OneDrive link after checking who can open it.

Save the setup for next time

Save the Word merge document and keep its Excel workbook in a known location. Before another send, review the current recipient list, update the message, and run a fresh test. Remove old test rows and opted-out recipients; never assume last time’s selections or subject line are still right.

Frequently asked questions

Can I do a mail merge directly in Outlook?

For personalized fields from Excel, create the message in desktop Word and send it through classic Outlook. New Outlook has a separate basic option for sending individual copies.

Does mail merge work with new Outlook?

New Outlook’s basic mail merge can send separate copies, but it is not the personalized Word-and-Excel workflow described here. Check your version’s available controls before using it.

Can Excel put a different subject on each email?

Not through the standard Word email-merge dialog. Use separate merge runs for groups that need different subjects.

Can I mail merge with attachments in Outlook?

The standard Word email merge cannot add a chosen file to each message. Use a carefully permissioned file link for a shared document, or a separate attachment-capable workflow.

Will recipients see each other’s addresses?

No. Word sends an individual message to each selected email address rather than putting the whole list on one message.

Why didn’t my test email arrive?

Check the sending account’s Outbox and Sent Items, confirm the address in your test row, and look for a delivery error before sending another test.

Can I reuse the Word document next month?

Yes. Save it and its connected spreadsheet, then review the data and run a new test before the next send.

Quick checklist

  • Classic Outlook is open with the right sending account.
  • Excel has clear headers, valid addresses, and no unwanted recipients.
  • Word’s To field points to the email-address column.
  • Merge fields look right in several previewed messages.
  • My test email has the right sender, subject, body, and links.
  • My test row is excluded from the live send.
  • The final subject and selected recipients have been checked.
  • I’ve checked Outbox, Sent Items, and delivery errors before retrying.
